TRANSACTIONAL LETTERS

1. What is a transactional letter?
  • A transactional letter refers an e-mail. The word transactional simply means that it is a response to a letter or e-mail and some notes.  It can be both formal and semi-formal. Normally ask for additional information about the subject presented, or call for explanation/clarification of the information given earlier. 
2. What are the 6 steps when writing a transactional letter?

2.1. CHOOSE THE BEST WAY TO START:
In this part we have to check who the receiver, why I am writing, what I am writing about. We need to find out what is the best style to use.
2.2. THE PLANNING:
It is much betters to plain our answer. For this we need 3 items:
A)     Decide the style.
B)      The original letter can gives you an idea for the     subject and for vocabulary that you can use in it.
C)      Details that you can use in your answer.
2.3. DECIDE THE PARAGRAPHS:
What are you going to put in the paragraphs, usually is better only 4 of them and they should be very short.                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                  
2.4. USE YOUR OWN WORDS:
Try to take some words from the original letter but it is better that we explain in our own words and in that way we will show we our abilities.
2.5. CHOOSE THE RIGTH STYLE:
Here we need to check again that we have chosen the correct style for the letter or e-mail, and also the use of proper vocabulary.                                                                       
2.6. CHECK AND CORRECT
We have to check the grammar part, the use of expressions, if we usually make mistakes check them many times and check the vocabulary.


3. What is the most important information that you should take into account at the time of writing a transactional letter?


  • I think all of steps are important for writing a transactional letter in the best way; I don’t take them as steps but better as purposes or advices for get better our writing communication.

4. Claremont Hotel,

I am writing for information about your hotel. I am interested in the party option.

I will have a familiar meeting on Saturday 20th April from pm to 12 pm, I would like to know if you have a place for me in that date for making the book as soon as possible, the meeting will have around 150 guests, they are all our family and I would like they be comfortable, delighted and the idea is enjoy the moment. I have read about you and it seems to be what I have been looking for.

In the brochure, was not the kind of menu you use, could I choose the carte or menu for that occasion or do you usually have one in special?

I will be graceful if you send me an approximate price list of the details that I have given you by this.
